Vestry Minutes

Meetings

Faith Alive

Every Month

The vestry meets in Fay Hall on the third Monday of every month, normally at 7:00pm (check calendar for times).

This meeting is open to all parishioners. If you have issues you wish to raise, however, we would ask that you contact one of the wardens in advance to make sure your items are included on the agenda.

Meeting of 17th July, 2006

Present

Fr Bill, Diane Barrette, Basil Brigandi, Marq Davis, Sal Giorlandino, Leanne Harkness, Gale McKenzie, Sharyn Philcox, Kim Schultz, Don Shapleigh, Bob Williams, MJ Ebens and David Trussler.

Previous Minutes

Due to the excessive summer heat the meeting was held in the office area. The meeting opened at 7:00 with a prayer vigil for Jim Boyer. As this meeting was specifically intended to deal with parish communications, the minutes of the previous vestry meeting and the treasurer's report were omitted.

Other Business

Fr Bill reported that there were three applicants for the position of organist. One of these has dropped out.

Gale is arranging a nursery for the Faith Alive program and was concerned about the need for a Safe Church security check. Sharyn felt that given the set up of the program, this was not a problem. The Deanery group has offered to provide some of the meals for Faith Alive.

Don has been contacted by a couple of music teachers who would like to use several rooms the building paying about $20 per day of usage. The hours are approximately 2:30 7:00 on weekdays and 9:00 5:00 on Saturday. They understand that the church has right of preemption on the use of the building. They are also aware of the Safe Church requirements and will have parents of the students in attendance. This is a potential $5,000 - $6,000 per year. She is the organist at King's Chapel and they live in Marlborough. Along with this Don would like to fix the exterior lighting at the back of the church. Bob requested a reference check of the couple. Sal raised a safety issue with regard to the swamp in the back of the church. The consensus of the vestry was that Don should continue negotiations.

Linda Johnson has notified Fr Bill that September 1st is her last day to fill in as temporary treasurer. Fr Bill would like someone currently on the vestry to take over this position, if possible.

Communications Brain Storming

The rest of the meeting was given over to this topic.

  1. What media do we currently use for communications: Sunday Bulletin and announcements, Beacon, Tim's email, calendar in Fay Hall, website, adult forums. In the past we had a telephone chain.
  2. The questions are whom do we want to reach? What do we want to communicate? When do we want to communicate? Where and what group should we communicate to? How do we do it? Why do we do it?
  3. Can some of shut-ins be useful in a telephone chain?
  4. Committee chairs need to be responsible for getting information to the various newspapers
  5. We need to communicate the deeper meaning of the parish vision and plan. Do we need one?
  6. Do we really want to grow or stay as we are?
  7. What do we do best care concern?
  8. Email database David can set it up to be used for time-sensitive notices and possible a telephone chain
  9. Fr Bill would like the Beacon to be used for deeper messages and more in-depth articles
  10. Diane will set up a telephone chain with the vestry as the key contacts
  11. The bulletin needs to be more focused
